Stallholder Information

Freeling Christmas Street Party is an annual non-profit family orientated community event. The night includes stalls, a street parade, rides such as Small Train, Trippa, Sizzler, Tea Cups, Wacky Shack & Rock Climbing Wall from 5pm – 10pm, Ryan Hancock – DJ Rhino will be our MC and DJ throughout the night. Father Christmas makes an appearance on the night at 6:30pm with some freebies for the kids, and our large raffle gets drawn around 8:30pm.

There will be Road Closures in Place from 1 pm when setup can safely begin in the streets. Stalls to be set up and vehicles removed out of the road closure area by 4:30pm. At 6pm the street parade will begin from the Cherry Street Entrance of Freeling Recreation Park making its way up Hanson Street to ANZAC PARK. There is to be NO MOVEMENT of vehicles around the road closures of the event from 4:30pm. After 9pm once your stall is packed up DO NOT DRIVE into this area without checking with Security or a Committee Member before moving your vehicle closer to your stall to load.

You are required to adhere to the location that you are allocated, and sites requiring power have been taken into account when allocating stall sites. All powered sites require you to supply your own extension cord which must be tagged & tested. Electricity is limited to food stalls that need to connect to the Generator we Hire there is no other power available at this time.

All stalls are allocated an area of 3m x 3m, unless prior arrangements have been made in writing.

All gazebos will need to be secured by sandbags/weights, as close as possible to the frame/canopy space. NO PEGGING is allowed.

Stallholders are responsible for supplying all their own equipment & if erecting walls between sites must ensure this is done prior to opening.

SELECTION PROCESS & CRITERIA

We are looking for a variety of stalls, with very little duplication.

We will endeavor to include a variety of stalls for various ages (children through to adult). All stalls must be ‘family friendly’. Freeling  Christmas Street Party reserves the right to refuse applications that do not meet our criteria or who we feel are not suitable for a family atmosphere.

Applications will be accepted until 31st October 2023. First round of acceptances will be given out 22nd September 2023 and second round of acceptances will be given out October 10th and all remaining applicants will be notified of the outcome of their application by the 10th November 2023 at the latest.

Payment MUST be submitted ASAP after being accepted and receiving your invoice to have a stall unless prior arrangements have been made with a committee member.

All accepted stallholders will receive a XERO Invoice for their Fees. If payment is not received by cob Fri 10th November your stall will be cancelled.

We request that stall holders and individuals not sell their own raffle tickets on the night as the Freeling Christmas Street Party Committee will be selling raffle tickets for their major raffle, with all proceeds going towards future events.

Electricity limit: 1 outlet supplied if requested for Food Vendors Only

* If you require a different sized stall you must note this and request a price.


** If you book 3×3 and upon arrival require 6×3 you will not have that amount of space allocated and will have to set up in your allocated 3×3 space.

Public Liability Insurance cover is essential for all stalls. Insurance can be purchased through the Freeling Community Christmas Street Party – there are a limited number of stall insurance spaces available and is a first in first served basis. NOTE SPORTING CLUBS, SOLE TRADERS AND REGISTERED BUSINESSES MUST HAVE THEIR OWN INSURANCE AS OUR POLICY CAN NOT COVER THEM. AUZI Marketstall Insurance you can purchase one day only Insurance or is very affordable for 12 months.

EFTPOS Facilities are not provided but you are welcome to use your own facilities or both Hotels & Freeling Foodland have an ATM. Some stallholders will have their own eftpos facilities.

Payment MUST be submitted ASAP after you receive your XERO Invoice and Bank Transfer is preferred and be cleared by COB 10/11 unless prior arrangements have been made with a committee member.
