2021 Freeling Christmas Street Party

** Special COVID-19 Condition for 2021 we will require lots of Covid Marshal’s – would your Business/Sporting Club/Community Group be able to provide us with 1 Covid Marshal for a duration of 2 hours across the afternoon/evening? Your allocated person will need to have done the Covid Marshal Training and we will be doing a roster of people to do this role across the event time of 4pm – 11pm.
After the event once their commitment has been met on Street Party Night we will refund $10 of your stall fee.
Many hands make light work and for this event to go ahead we will need many extra hands this year.
We will need your nominated person’s Name and Mobile Ph number as well as a copy of their Covid Marshal Certificate sent to us upon application or no later than 1st November so we can add it to our Covid Management Plan for SA Health.
If we can’t get enough volunteers for this role to cover the whole event at first we may ask if the Sporting Clubs/Community Groups can supply us a 2nd Marshal or do a 2nd shift.

Covid Management Plan we have in the works and have been liaising with SA Health to try and get it signed off and we are getting closer but we need a Covid Safe Plan For each of you as well. It is quick and easy to do www.covid-19.sa.gov.au/business-and-events/create-a-covid-safe-plan. This is due to us having over 1000 people at our event and individual sellers why we need this.
We have done up a cheat sheet for you as there are certain requirements that you need to fill in specifically for this event.
Freeling Christmas Street Party is an annual non-profit family orientated community event. The night includes stalls, a street parade, rides such as Small Train, Trippa, Dodgems, Jumpy Castle, Rock Climbing Wall from 5pm – 10pm, a live band 8pm – 11pm and other entertainment. Father Christmas makes an appearance on the night at 6:30pm with some freebies for the kids, and our large raffle gets drawn around 8:30pm.
The streets will be closed off at 3pm and require the stalls to be set up and vehicles removed by 4:30pm. At 6pm the street parade will begin from the Oval, where we require the street area to be cleared completely by this time. Road closures will ensure the safety of participants, as the event area becomes a pedestrian zone. DO NOT DRIVE into this area without checking with Security or a Committee Member at packup time.
You are required to adhere to the location that you are allocated, and sites requiring power have been taken into account when allocating stall sites. All powered sites require you to supply your own extension cord which must be tagged & tested.
All stalls are allocated an area of 3m x 3m, unless prior arrangements have been made in writing.
All gazebos will need to be secured by sandbags/weights, as close as possible to the frame/canopy space. NO PEGGING is allowed.
Stallholders are responsible for supplying all their own equipment & if erecting walls between sites must ensure this is done prior to opening.
SELECTION PROCESS & CRITERIA
We are looking for a variety of stalls, with very little duplication. Food stall applications will be based on local club’s stalls having first preference on what type of food to sell and will not be duplicated by another club or organisation.
We will endeavor to include a variety of stalls for various ages (children through to adult). All stalls must be ‘family friendly’. Freeling Christmas Street Party reserves the right to refuse applications that do not meet our criteria or who we feel are not suitable for a family atmosphere.
Applications will be accepted until 31st October 2021. First round of Acceptances will be given out August 31st, Second round of acceptance will be given out October 10th and all remaining applicants will be notified of the outcome of their application by the 7th November 2020 at the latest.
Payments for Stalls MUST be received/cleared before COB Friday November 19th 2021 or your stall will be cancelled.
We request that stall holders and individuals not sell their own raffle tickets on the night as the Freeling Christmas Street Party Committee will be selling raffle tickets for their major raffle, with all proceeds going towards future events.

** If you book 3×3 and upon arrival require 6×3 you will not have that amount of space allocated and will have to set up in your allocated 3×3 space.
Public Liability Insurance cover is essential for all stalls. Insurance can be purchased through the Freeling Community Christmas Street Party – there are a limited number of stall insurance spaces available and is a first in first served basis. NOTE SPORTING CLUBS, SOLE TRADERS AND REGISTERED BUSINESSES MUST HAVE THEIR OWN INSURANCE AS OUR POLICY CAN NOT COVER THEM. EFTPOS Facilities are not provided but you are welcome to use your own facilities or both Hotels have an ATM. Some stallholders will have their own eftpos facilities.
Payment MUST be submitted ASAP after you have been accepted and be cleared by COB 12/11 unless prior arrangements have been made with a committee member.
